Job Description:

Implementation Specialist

(Health Plan Building)

Philadelphia, PA

(Full-Time, Permanent, Hybrid role)

Homestead Smart Health Plans has an immediate opening for an organized, detail-oriented, and experienced Implementation Specialist.

The Implementation Specialist serves as part of the Project Management Office and acts as a liaison for the Sales and Operations Teams, coordinating with internal departments and external service partners to ensure successful and error-free new client group implementations and plan renewals.

The Implementation Specialist is responsible for the client set-up forms and paperwork, checking documentation for completion and consistency of information, organizing and maintaining documents, and providing guidance and training on implementation processes and procedures.

This position reports to the Implementation Manager, and is located in Philadelphia, PA. We are currently working in a hybrid environment (3 days in the office, 2 days working from home).

This is a full time, permanent position.

Specific Job Responsibilities:

* Ensure the prompt receipt and completion of all required new client group implementation and plan renewal documents

* Manage, and maintain organized and complete client records using SharePoint, Network Drives, PandaDoc, and CRM as appropriate

* Serve as main point-of-contact for all client implementation documentation and information inquiries from both internal and external stakeholders

* Ensure tracking and receipt of all required client implementation and renewal documentation

* Facilitate weekly Implementation Status Meetings to communicate to management and sales on client implementation progress and next steps

* Assist with the training of new team members on Implementation processes and procedures

* Develop and maintain current client listings to support sales activity and operational tasks and maintenance

* Maintain current knowledge of vendor partner service offerings, related fees, and required set up forms

* Serve as primary point-of-contact to the organization’s Plan Document Management vendor, assist in the development and regular updates of industry compliant Plan Document and Summary Plan Description generic templates

* In coordination with internal TPA operations, draft and/or provide quality review of new client Plan Documents and Summary Plan Description (SPD), Summary of Benefits and Coverage (SBC), Schedule of Benefits, and plan amendments

* Recommend process and procedural improvements to ensure timely and quality completion of client implementation and renewal related tasks

* Assist with project planning and implementation of new service vendors and partners

* Create departmental forms and templates using Adobe Pro or other document workflow/form creation software

* Perform other duties and responsibilities as assigned

Experience and Skills:

Education and Experience Required:

* Associate degree or equivalent from an accredited college required, Bachelor's degree preferred

* A minimum of three (3+) years experience in an office/administrative setting

* Knowledge of Health Benefits industry, specifically in the area of sales, benefits and plan design, client implementation and/or operations process and procedure highly desired

* Knowledge of project management methodology preferred

Knowledge, Skills, and Abilities:

* Superior interpersonal, written, grammar, and oral communication skills

* Excellent time management skills and the ability to multi-task and prioritize work

* Extraordinary attention to detail

* Able to handle confidential information responsibly and professionally in accordance with departmental policies

* Strong organizational and planning skills

* Strong proficiency in Microsoft Office software, i.e. MS Word, Excel, PowerPoint

* Able to quickly learn new tasks and software

* Able to work independently as well as part of a team to take initiative, identify and address tasks without prompting, meet deadlines, and follow through on assignments

* Able to work comfortably in a fast-paced environment
