Job Description:

Universal Services Associates, Inc. is a fabrication firm that builds and installs custom museum exhibits and environments, electro-mechanical interactives and prototypes, and scale models for various commercial industries. Business is great, and we are growing steadily, so we’re currently seeking an experienced Project Manager to join our team of exhibit fabrication experts. As one of several PMs, you will lead projects from contract award through completion and closeout while meeting and exceeding expectations for schedule, budget, quality and client satisfaction.

Essential responsibilities include:

  • Pre-production planning, including review of project scope, budget, materials, and schedule. Gather input from appropriate team members and key subcontractors. Conduct site surveys if required. Clearly communicate expectations for team members.
  • Prepare and communicate the detailed project schedule. Be the primary point of internal and external communication; externally manage the Client (e.g., Museum, Company, or Designer) and internally all department heads and assigned personnel. Travel to site as necessary.
  • Run internal kick-off and subsequent update meetings. Keep project plan and assignments fully up-to-date. Work with Production Manager to schedule resources (people, space and materials).
  • Manage and approve all internal Purchase Requisitions as well as sign off for Customer Change Orders.
  • Review shop drawings and other submittals to ensure accuracy and appropriate detail in materials, graphics and other project-specific requirements.
  • Coordinate ongoing production and logistics support as it relates to the installation and completion of elements.
  • Maintain focus on primary goal of ensuring projects are on time, within budget, to quality expected and meeting customer expectations.
  • Coordinate monthly client invoices, assist in project close out and final billing. Initiate a post-project review with all appropriate personnel to identify issues, systems, and communication links that were successful or in need of improvement.

Experience and Skills:

  • Five years minimum experience in managing museum exhibitions, construction, architectural millwork, trade show or theatrical projects
  • Undergraduate degree in a related field
  • PMP certification and/or some level of training or continuing education class work related to the Project Management field
  • Thorough understanding of museum and/or environment exhibit production and refurbishment methods
  • Demonstrated experience in the estimation, cost analysis and management of projects
  • Demonstrated experience with CPM scheduling applications such as Microsoft Project, FastTrack, SureTrak, Smartsheet, etc.
  • Skilled user of Word, Excel, Gmail, Dropbox, Google Drive, Smartsheet
  • Ability to anticipate issues, identifying future choke points and working ahead of time to alleviate potential issues
  • Ability to set an example by taking full responsibility and accountability for project successes and/or failures. Ability to identify and escalate needed departmental improvements, not only in work processes, but also relating to cross department or facility interaction
  • Willingness to work evenings and/or weekends as needed
  • Willingness and ability to travel for client meetings, site visits, and to supervise installation activities
  • Highly developed interpersonal skills—communication and motivation of the team is critical to success. Ability to successfully work with team members, communicating and motivating others to complete each project on time and on budget
  • Adaptable to shifting priorities and steadfast at anticipating any roadblocks. Ability to conform to shifting demands, and timelines, through analytical and problem-solving capabilities


Our shop is approximately 40,000 SF and is located in Folcroft, PA, near the Philadelphia International Airport and the John Heinz National Wildlife Refuge.
