Grant Accountant

(On-site role)

Bebashi - Transition to Hope

(Non-Profit Environment)

Philadelphia, PA

 

 

 

 

Organizational Overview:

Bebashi – Transition to Hope is a multi-purpose health and social services agency with a special interest in supporting people living with HIV/AIDS, underserved communities, and those living in poverty.

Our mission is to empower people to enhance the quality of their health and overall well-being by providing access to culturally sensitive high-quality healthcare, HIV/AIDS services, health education, and social services.

 

 

Position Summary:

The Grant Accountant is responsible for financial oversight of grant-funded programs, ensuring compliance with all funding source guidelines, and maintaining accurate accounting records. This position requires advanced knowledge of QuickBooks and Excel and will also be responsible for Accounts Payable functions, monthly reconciliations, and grant reporting.

 

 

Key Responsibilities:

 

Grant Management & Compliance

• Track and monitor all financial transactions related to government and private grants.

• Ensure full compliance with federal, state, and private grantor regulations, including OMB Uniform Guidance.

• Maintain accurate and complete grant files and documentation for all active awards.

• Collaborate with program managers to ensure expenses are properly coded and allowable under the terms of each award.

 

Budgeting & Forecasting

• Assist program managers in developing and maintaining grant budgets and spending plans.

• Monitor actual spending versus grant budgets; prepare and present timely variance analyses.

• Support the development of indirect cost rates and allocation methodologies. Financial Reporting

• Prepare and submit accurate, timely financial reports to funders in accordance with grant requirements.

• Maintain up-to-date tracking schedules of grant balances, expenditures, and reimbursement requests.

• Assist the Director of Finance with internal reporting and preparation of financial statements.

 

Audit & Documentation

• Prepare supporting schedules and grant documentation for annual audits and funder monitoring visits

• Ensure grant records are complete, audit-ready, and stored in accordance with organizational policies. Process Improvement & Internal Controls

• Recommend and implement improvements to grant management systems and financial reporting processes.

• Ensure effective internal controls are in place to safeguard funds and ensure grant compliance.

 

Accounts Payable & Reconciliation

• Review and process vendor invoices, ensuring accurate grant allocations and appropriate approvals.

• Manage timely check runs and ACH payments.

• Perform monthly bank, credit card, and grant-related account reconciliations.

 

Month-End Close

• Support the month-end close process by preparing journal entries, reconciliations, and grant-related schedules.

• Work collaboratively with the finance team to ensure accurate and timely financial closing activities.

This is a Full Time, Exempt, On-Site role reporting to the Director of Finance.

Experience and Skills:

  Qualifications:

• Bachelor’s degree in Accounting, Finance, or related field required.

• Minimum 5+ years of progressive accounting experience, with at least 3 years in nonprofit grant accounting or government grant-funded environment.

• Strong proficiency in QuickBooks (required) and Microsoft Excel (pivot tables, VLOOKUPs, etc.).

• Knowledge of GAAP, federal and state grant regulations (e.g., Uniform Guidance), and audit preparation.

• Excellent attention to detail, organization, and analytical skills.

• Ability to prioritize and manage multiple deadlines.

• Commitment to Bebashi’s mission and values.

 

Preferred Qualifications:

• Experience with city, state, and federal government grants.

• Prior experience in a nonprofit or social services organization.

• Knowledge of other accounting systems or grant management tools is a plus.
